The School of Nursing requires an administrative assistant to provide secretarial and related support services.

DUTIES:

Represent the School of Nursing as the initial point of personal and telephone contact with the public, faculty, students and staff. Receive and distribute incoming mail. Type, photocopy and collate a wide range of documents. Acknowledge routine written and telephone inquiries. Compile and organize information for reports. Arrange appointments and meetings. Assist in maintaining positive communications with outside agencies and individuals pertaining to health care and the nursing profession. Compose routine correspondence. Establish and maintain administrative filing system and mailing lists. Prepare requisitions and other forms. Manage and update Website. Monitor office and other supplies, and other duties as may be required.

QUALIFICATIONS:

Grade 12 graduation, successful completion of an Administrative Assistant Program with related experience or a combination of education and experience. Knowledge of medical terminology preferred. Proficient in Word Perfect 9, Quattro Pro, Moodle, Word, E-Mail usage, Power Point, Fusion 8. Strong organizational skills; ability to deal effectively with people; ability to maintain confidentiality.

Hours of Work: 33.75 hour per week
Salary: $29,244 to $32,178 per annum, as per CUPE 1870 (under negotiations)
Closing Date: Sep 28 2009

Reporting to the Manager of the Accounting Office, this position is responsible for financial administration of over 1,000 research accounts at the University and to liaise with the Office of Research Development (ORD), particularly the VP. The duties will be on an ¡®as assigned basis¡¯ covering the range of activities described below.

DUTIES:

Financial Administration of Research Account

¡öOngoing reconciliation and analysis of research account balances;
¡öAuthorize and ensure claims are prepared and sent on a timely basis;
¡öBudget and cash flow development for research projects;
¡öEffective communication and collaboration with ORD, Principal Investigators, and external funding agencies;
¡öFinancial reporting;
¡öEstablishment and implementation of effective internal controls for research accounts.
Management Responsibilities

¡öManagement, direction, and coordination of staff and resources;
¡öManagement of the section workload and associated deadlines;
¡öAssistant Manager of the Accounting Office ¨C participates in the strategic planning and human resource development for the Accounting office and manages the office in the absence of the Manager.
¡öCarries out complex projects as assigned by the Manager of the Accounting Office.
Liaison with ORD

¡öRegular communication with ORD staff, particularly the Vice-President.
¡öParticipate in planning with ORD;
¡öPreparation of statistical analysis and/or reports upon request.


QUALIFICATIONS

The incumbent will have an accounting designation and a University degree in Business with specialization in accounting and finance and a minimum of 3 years accounting experience, preferably in a University or similar setting; demonstrated experience and skills in management and supervision; familiarity with research accounting would be an asset; the ability to negotiate and work with external agencies and department heads; detailed knowledge of and experience working with computerized accounting systems, spreadsheets and database query programs; excellent analytical skills; exceptional communication and interpersonal skills.

Salary: Commensurate with education and experience
